What moves through a property transaction
| Files | From → to | Sensitivity | Best way on Transfr |
|---|---|---|---|
| Listing photos, drone shots, video tour | Photographer → agent → portals, sellers | Low | Transfer link, full quality, previews in the browser |
| Floor plans, energy reports, disclosures | Agent → buyers | Medium | Transfer link with comments on PDF pages |
| ID, payslips, bank statements, references | Buyer or tenant → agent | High | File request with a password |
| Offer, contract, lease | Agent → buyer, lawyer, notary | High | End-to-end encryption, password, one download |
| Mortgage paperwork | Buyer → broker or lender | High | File request or encrypted transfer |
The sensitive files are the ones that most often travel badly: phone photos of an ID card in an email thread, or a bank statement forwarded three times. Giving applicants a proper upload link, and sending contracts behind encryption, reduces both the risk and the clutter in your inbox.
How to collect documents from buyers and tenants
Step 1
Create a file request
On transfr.me, switch to Receive and create a request per property or per applicant, for example “12 Park Road, rental application”.
Step 2
Protect it
Add a password, set a deadline (up to 60 days, or none), and cap the number of submissions if the link is for one household.
Step 3
Send the link and the password separately
Text the password, email the link, or show the QR code at a viewing.
Step 4
Applicants upload from their phone
No account, no app: they pick files or take photos, up to 100 GB per submission.
Step 5
Save the files to your system
You get an email when files arrive. Submitted files stay 7 days, so store them in your client file and delete what you no longer need.
One link for every applicant’s documents
Free file requests, with a password and a deadline.
Sending contracts and personal documents securely
- End-to-end encryption: turn it on and files are encrypted in your browser before upload; the key is part of the link and is never stored on our servers.
- Password: share it by phone or text, never in the same email as the link.
- One download: set the limit to 1 for a document meant for one person.
- Short expiry: 1 to 3 days is usually enough; files are deleted afterwards.
- Data location: files are stored in Western Europe by default, or in another region you choose.
Signatures happen in your e-signature tool; Transfr is for moving the documents around it. For the reasoning behind each setting, see secure file transfer and GDPR-compliant transfer. Lawyers and notaries on the other side will find their own advice on our legal page.
Listing photos, videos and virtual tours
A property shoot with 40 high-resolution photos, a drone sequence and a 4K walkthrough easily reaches several gigabytes, far beyond email. Photographers deliver it in one link, folders kept (Photos, Drone, Video, Floor plans), and the agent previews images and MP4 video in the browser before downloading. The same link can go to the seller for approval. Portals usually want resized images, so photographers often add a web-sized set next to the full-resolution originals that the agent keeps for print brochures and window displays. For drone and walkthrough files, see send large video files. Our pages for photographers and on sending large photos cover the photographer’s side.
Questions on floor plans and reports
Send floor plans, survey reports or a disclosure pack as PDFs with comments turned on. Buyers can pin a question to the right page (“is this wall load-bearing?”), and you are emailed for each comment when signed in. Answers stay in one place instead of scattered across emails, and you can see which documents generated questions before the second viewing.
Property management: inspections, repairs and handovers
Property managers exchange a steady flow of files with tenants, landlords and contractors: check-in and check-out inspection photos, repair quotes, invoices, before-and-after pictures of work. A standing file request per building, with no expiry and a password, gives contractors one place to upload their reports and photos from site. For landlords, a single transfer with the inspection report and its photo folder is clearer than a dozen emails, and the PDF can be commented page by page if they have questions.
Working across time zones and countries
Buyers relocating from abroad, overseas investors and holiday-let owners often deal with an agency remotely. Choose the storage region nearest to them when you send a large pack (North America, Asia-Pacific or Oceania, for example), and remember they may open the link a day later: pick an expiry that leaves time for that. The interface is available in 18 languages, which helps foreign buyers.
Know when a buyer opened the pack
With a free account, you get an email each time someone downloads a transfer. Pro adds Send & Track: page visits, downloads per file, country and city (when the visitor accepts cookies), device and how long each file was viewed. For an agent, that means following up with the buyer who spent ten minutes on the floor plans, at the right moment. See download tracking.

To start, replace one habit at a time: create a file request for your next rental application, and send your next contract encrypted with a password. For applicants, it is also simpler than emailing photos of their payslips.
